Principal Changes of the December 18, 2015 Release

Our ninth release of the year is a big one.  We’re introducing several new features intended to give you more transparency and control over the review process.

1. Assignment Automation

We’ve made some major enhancements to our assignments functionality so you can move documents through your review workflows with as little intervention as possible.

The first such enhancement is the addition of “inclusion criteria” for any assignment group.  Much as an assignment group’s review criteria dictate when a document is considered “reviewed” in a given assignment, inclusion criteria determine which documents will automatically flow into the assignment group.  And these inclusion criteria can reference other assignment groups.  You can, for instance, create an assignment group that automatically includes all documents matching certain keywords for responsiveness review, then create a second assignment group that queues up documents for privilege review as soon as they emerge from that first responsiveness pass.

The use cases don’t end there.  You can use inclusion criteria to create assignments that automatically funnel all German-language documents, say, to your German-speaking reviewers.  Or create an assignment group that automatically surfaces potential mistakes by rounding up documents whose predictive coding scores significantly differ from the actual codes applied.

We’ve also made assignments easier to manage.  Assignors now have the option of allowing reviewers to assign new documents to themselves in batches of predetermined size.  This removes another workflow bottleneck, allowing review to progress more quickly without being dependent on a single admin.

Lastly, you can now create a new assignment group directly from the home page, without having to first run and load the results of a search.  The creation wizard lets you assemble a search, then decide whether that search will be used to create only the initial set of documents in the assignment group (a “static” assignment group) or will be used as the inclusion criteria to continually pull in new matching documents to the group (a “dynamic” assignment group).

2. Case Size Information

Have you ever wondered just how much data is in your case?  Well, wonder no more; you can now see historical and current case size information on the Case Analytics tab within Case Settings.  Note that case size data is only available for cases created on or after August 16, 2015.

3. Organizations

Many of our large cases involve multiple firms or other entities collaborating together.  Within those complex cases, you told us that you’d like to be able to share items in Everlaw with all of the users in the case from your organization, and we listened.  Now, the organizations for everyone with access to your case are automatically listed below the user groups.  We’ve also given you the flexibility to determine permissions by organization.  This simple but powerful user classification should make it much easier to work both with your colleagues and with those at the organizations with which you collaborate.
