Principal Changes of the 7/22/2016 Release

The fourth release of the year focuses on small improvements that will enhance your search, assignments, and user management experience.

Share data from a deleted user

Members of a review team may come and go. Ensuring that a team member's departure doesn’t affect the continuity of a review project can be a headache. We’re making that process a lot more manageable with our new data sharing tool. When you remove a user from a case, you can now choose to share the review items, and retain the review product, associated with that user.

Shareable Coding Presets

We’re making coding presets shareable! Click on the new share icon in the expanded coding panel view to access the share dialogue. Similar to other objects in Everlaw, you can share coding presets with entire groups of users, all users in a particular organization, or individual users. Some reasons to share coding presets include:

  • Standardizing review through a set of coding presets used by all members of a review team
  • Giving a fellow reviewer access to a coding preset that you’ve found particularly helpful

If you are sent a preset, you must affirmatively accept it through the message center by clicking on the attached preset in the appropriate message. Once you accept the preset, a dialogue box will appear where you can choose which slot you would like the preset to go in. If you do not choose a slot in the last step, the sent preset will not be added to your list of available presets.

Search hit estimates for metadata                   

While adding a metadata criteria to your search, you might want to know how many documents have that particular metadata value in your database. You can now see an estimate of that number in the drop-down containing values you might want to search across for a particular metadata field. These estimates can help you decide which values you want to search for.

Search for null metadata value

Our search interface makes it easy to find documents with a particular value for a given metadata field. However, you might want to find documents that do not have any value for a given field. For example, you might want to pull up documents that do not have a specified custodian in your database. With the addition of the new “no value” parameter, you can easily retrieve those documents.

New Canonical Fields

We’ve added “Filename” and “File Path” as canonical fields. This allows us to normalize all conceptually related fields under the single “Filename” or “File Path” field, making it easier for you to search across these attributes.

Open document families in a search

The review window context panel shows you document families. On occasion, you might want to open a document family in a new results table to better collect or use the documents in the family. Instead of building a search to retrieve a document family, you can simply click on the new magnifying glass icon in the context panel.

Progress bar for unassigned docs in an assignment group

The new progress bar on the unassigned documents card shows you the percentage of unassigned docs that are already reviewed, based on the review criteria for the assignment group. This is useful to know since reviewed, unassigned documents cannot be assigned out to reviewers within the assignment group.

Message all users in an assignment group

Need to quickly communicate with all reviewers associated with an assignment group? Instead of adding each person individually, we’ve added a new “message all assignees” option. Click on the message icon in the upper right of the assignment group admin view, and a message dialogue will pop up with all reviewers in the assignment group pre-populated.
