Entity management for Database Admins

Database Admins can now manage entities and resolve entity conflicts directly in Everlaw via the Entities page of Database Settings.

An entity is a collection of email addresses and contact names associated with a specific individual, which Everlaw automatically identifies by analyzing  metadata during document upload. Entities can be used throughout the platform, such as when using email search terms (e.g. From, To, Cc, Bcc, Recipients, Parties) and Data Visualizer.

In rare cases — typically due to issues with metadata in underlying documents — conflicts may arise that require remediation. For example, users conducting searches with the Parties term may encounter instances in which individual entities should be merged, email addresses are misattributed, or irrelevant distribution list emails create clutter. Entity management helps resolve these occasional issues by consolidating entities, correcting associations, and filtering out irrelevant data.

Apply default search grouping beyond search page

When enabled, default search grouping now extends to a larger set of review entry points.   Default search grouping allows Project Admins to specify the initial grouping settings for all new searches created in the project. 

Previously, default search grouping for a project was applied only to searches built on the Search page.  With this release, it applies to results tables accessed via the following common points of entry for review:

  • View all documents button on the homepage
  • Homepage cards in the Binders column
  • Native upload and processed upload cards in homepage’s Document sets column

    Note

    Default grouping does not apply to production cards in the Document sets column.

  • Data Visualizer accessed through the navigation bar
  • The Create new assignment dialog

    Note

    Default search grouping will not be retroactively assigned to pre-existing assignment groups.

Add database fields to legal hold matters

Organization Administrators and Legal Holds Organization Administrators can now apply database fields to legal holds matters for categorization and filtering. Database fields allow you to track key information, such as the practice area or lead attorney, for each Everlaw database your organization creates. Previously, these fields were only available to fill in when creating a new database. With this release, existing database fields can also be applied when creating a new matter from the organization's Legal Holds page. When applied to a legal hold matter, they are referred to as matter fields.

Visual improvements

  • We’re updating the Project Settings > Permissions > Approved Locations page in the following ways:
    • The visual appearance of the edit mode banner is modified to match our brand styling. Select Edit on this page to open the banner.
      The banner’s Reset All button has been renamed to Reset to default.

    • The styling of the Allowed IP addresses and Allowed countries tables now match that of similar tables throughout Everlaw.

    • The Add countries dialog, opened by selecting + Add Countries, now previews selected countries in individual boxes, rather than as a comma separated list.

  • We’re updating the Organization Admin > Project & Users > User Identifiers page in the following ways:
    • The User Identifiers table styling now matches that of similar tables throughout Everlaw.

    • The Add new user identifier input box located at the bottom of the table has been switched to an + Add user identifier button above the table. Selecting this button opens a similar input box as before, with slight visual styling changes.

    • The Edit column, which previously allowed users to edit both the User Identifier and its abbreviation has been replaced with separate edit buttons that appear in each of those individual columns when you hover your cursor over the row.

    • The User identifier abbreviation column has been renamed to Abbreviation.


  • The Deposition tab in Storybuilder Depositions has been renamed to Prep.
