Hit highlights for spreadsheets

Hit highlighting allows you to quickly locate important words or phrases in the document you are currently viewing. New in this release, hit highlights are available for spreadsheets in the review window. To access hit highlights in full-screen mode, enter the Spreadsheet (Native) viewer, then select the Hit Highlights tab in the full-screen panel.

To access hit highlights in classic mode, enter the Spreadsheet (Native) viewer, then expand the Hit Highlights tab from the right-hand panel.

Just like hit highlights on other document types, spreadsheet hit highlights are broken down into three categories: search hits, custom hits, and persistent hits. Briefly, search hits are terms or phrases used to retrieve the document; custom hits are terms added from within the review window; and persistent hits are highlights set up by project admins that will appear for all users in the project. You can click on a hit in the panel to jump to and select that hit in your spreadsheet. Selected hits are indicated by a blue outline.

All hit highlights apply to the entire spreadsheet, even if the spreadsheet is multiple pages. Therefore, if you click on a hit in the panel that is on the third page of your spreadsheet, you will automatically jump to that page.

You can also redact hit highlights in spreadsheets. When redacting all instances of a hit, you'll see a dialog box listing the number of redactions on each page of the spreadsheet. You may also be prompted to select a redaction dependency setting. The options are identical to redaction dependency options for individual dependent cells, and you can learn more about them in this article.

Batch redaction for spreadsheets

Spreadsheets are now included in batch redaction tasks! As a result, there is a new "Spreadsheet dependencies" option to select when you are configuring batch redactions. These dependency settings are identical to the redaction dependency settings for dependent cells in individual spreadsheets. You can learn more about redaction dependency options in this article.

You can redact up to 5000 redactions across all pages of the spreadsheet. If a batch redaction creates more than 5000 redactions in one spreadsheet, that spreadsheet will not be redacted. You will see an error indicating this on the Batches & Exports card and associated CSV. All other documents in the batch redaction will still be redacted.

Export PDFs with document groups, PDF bookmarks, hyperlinked tables of contents, and family exhibit lists

New in this release, you can now include results table grouping in your PDF exports and include document families in your exhibit lists. In addition, PDF exports now include a table of contents page with hyperlinks to referenced documents and bookmarks showing each document.

Export Single PDF

When you export a set of documents as a single PDF, the PDF will now start with a table of contents with hyperlinks and bookmarks letting you jump to each document in the PDF. Results table grouping is now shown in the PDF table of contents with indentation and results table row numbering. For example, the first parent email in an export’s row number is 1.0 and its child attachment is 1.1. Then, the next family begins at 2.0.

Export ZIP of individual PDFs

When you export a ZIP of individual PDFs, you now have the option to export document groups as single PDFs. This means that each separate PDF in the export includes an entire document group, rather than a single document. If you select “Preserve sort order” in file naming, the order will now reflect grouping in the resulting PDF filenames by matching the results table row numbering. For example, the first parent emails will have 1.0 prepended to the front of its filename, and its child attachment will have 1.1 at the start of its filename. Then, the next family begins at 2.0.

Family Exhibit Lists

You can now also include attachment families in your exhibit lists in Storybuilder Drafts and Depositions. By clicking the new Families button in the exhibit list view, exhibits’ families will appear with exhibit numbers matching the numbering described above. Publishing an exhibit list to PDF will include the same numbering and bookmarks described above.

Create empty metadata fields from Project Settings

Project admins will now be able to easily add new metadata fields directly on the Project Settings page, rather than having to do a processed upload or overlay to create them. When adding a new field, admins can pick from a list of most standard fields, or create a new custom field. Note that it’s not necessary to create metadata fields before uploading data.

Load file and review work included in ECA project export

If you are working in an Early Case Assessment project, you can now include load files and review work in your full project exports for ECA projects.

To export an ECA project, navigate to the Projects tab of the Database settings page and select the Export icon under Actions.

In the dialog box that appears, you can now select to include natives, load files, and/or review work product in the export.
