Download, Print, Share a Document in Review Window

This article covers how to download, print, or share a document from its review window.

Requirements

To download or print a document from the review window, you must have "Document Download and Print" permissions. All user permissions are managed by your Project Admin(s).

Download a document

Required permission: "Document Download and Print" permission

Documents can be downloaded in the following formats: PDF, Native, or Text. 

Download a document

To download a document from the review window:

  1. Open the document in the review window.
  2. In the toolbar, select the download button's dropdown menu .

  3. [Optional] To download PDF files with annotations (redactions, notes, and highlights), select Configure PDF options, make your selections from the dialog, then reopen the download menu.
  4. From the download menu, select the file format you would like to download: PDF, Native or Text.
    The file is downloaded directly to your computer.
    The PDF and text files are downloaded with the Bates/Control # as their filename.  Native files are downloaded with their original (native) filename.

Configure PDF download options

To configure download options for PDFs:

  1. Open the document in the review window.
  2. In the toolbar, select the download button's dropdown menu .

  3. Select Configure PDF options.
    This opens the PDF download configuration dialog, which has two steps: Options and Slipsheets.
  4. [Optional] Select Stamp Bates numbers. If you select this option, choose between:
    • Stamp all documents
    • Only stamp EVER and # documents (EVER prefixed documents are unitized versions of documents; # documents are native documents with a control number, vs. Bates stamped documents).
  5. [Optional] Select Rotate images to portrait if you want images with a landscape orientation to be rotated counter clockwise.
  6. Select Next to move to the Slipsheets step.
  7. [Optional] Select Bates separator sheets.
  8. [Optional] Select Annotation sheets. Documents will include highlights. If you select this option, select either or both of the associated options: 
    • Review annotations (redactions, notes, highlights)
    • Story details
  9. [Optional] Select Metadata sheets. If you choose this option, select the fields you would like to include from the list.
  10. When ready, select Save settings.
    The settings you apply are save for future downloads, even after closing the review window.

Print a document

Required permission: "Document Download and Print" permission

Print a document

To print the document to your local printer:

  1. Open the document in the review window.
  2. [Optional] To configure your print options, select the print  button's dropdown menu . Then select Configure print options, make your selections from the dialog, then reopen the download menu.

  3. In the toolbar, select the print button.
    This opens the Print PDF dialog.
  4. In the Print field, choose between Whole document and Current page.
    If you choose current page, enter (or scroll to) the page you want to print.
  5. [Optional] To view view additional print settings, select Advanced PDF settings summary. To edit these settings, select Configure print settings and make your selections from the dialog.
  6. When ready, select Print.

Note

If you attempt to download a file that has been marked potentially malicious, a dialog appears notifying you that the document has been flagged. You may choose to download or not download the potentially malicious file.

Configure print options

To configure download options for PDFs:

  1. Open the document in the review window.
  2. In the toolbar, select the print  button's dropdown menu .

Share a document

To share the document with others on your team from the review window: 

  1. Open the document in the review window.
  2. In the toolbar, select the share button.

    This opens the Share document dialog.

  3. In the To field, type to add recipients and select them from the dropdown menu.
    To remove existing receptions, select the remove this entry  button  next to the recipient name.
  4. [Optional] To edit the notification subject line, select the edit  button next to the suggested subject line. Enter text. Then hit Escape on your keyboard.
  5. [Optional] Enter a personalized message in the text box.
  6. Select Share.

Recipients receive a message in their Everlaw message center with the document attached. By default, they also receive an email notifying them that they received a message through Everlaw.
