Project-level Management of Custom Extraction Fields

The Everlaw AI Extractions page, located within Project Settings, serves as a central repository for all custom extraction fields created within a project. Any extraction field  defined in the review window or through batch actions is automatically saved here. This centralized management allows Project Admins to create, oversee, standardize, and refine the extraction fields available to their team, ensuring consistency and reusability across all documents.

This article specifically covers functionality on the Project Admin Extraction page. However, fields can also be created and managed from the Batch menu in the results table, and in some capacities from the review window.

Tip

While not required, we recommend that Project Admins set up expected extraction prompts as part of new project setup. This creates uniformity in prompting and allows reviewers to get up and running faster than if they had to create all extraction prompts themselves.

Requirements

Only Project Admins can access and manage extraction fields at the project level via the Extractions page in Project Settings.

However, users with Generate permissions for Everlaw AI extractions (i.e. Summaries, topics, extractions, and doc Q&A permissions) and Batch actions permissions enabled can also create, edit, and hide extraction fields’ visibility from the batch menu. Users with just Generate permissions for extractions can only generate extractions from the review window.

Access extraction fields at the project level

Project Admins can access the Extractions page by navigating to Project Settings > Everlaw AI > Extractions. On this page, all visible extraction fields in the project are displayed by default. You can create new fields, edit existing ones, create copies to use as a basis for new fields, and hide ones you don’t want used in the project. You can also search, sort, and filter the fields, including an option to show only all saved extraction fields regardless of their visibility status.

Pre-built extraction fields are currently not available.

Add a new extraction field

To add a new custom extraction field from the Extractions page:

  1. Select + Add field.

    A new blank field entry appears.
  2. In the Name field, enter a name with which to identify the extraction field.
  3. In the Type field, choose the field type that should be used to define the expected format of the generated extractions. Your options are:
    • Text: The extractions are expected to be multiple words or sentences in length
    • Number: The extractions are expected to be numbers or references to numerical information
    • DateTime: The extractions are expected to be in datetime format or are references to dates and times
    • Entity: The extractions are expected to be names of entities, such as persons, organizations, or locations.
  4. In the Description field, enter a prompt that guides the AI on what information the field is intended to extract.

    Tip

    Don’t feel like you need to get the prompt exactly right the first time. We recommend testing new prompts on small sets of documents, and refining them as needed, prior to running them on a large document set.

  5. When ready, select Save.
    Upon creation, the field becomes available to be used on all documents in the project.

Note

An extraction field’s name and prompt description can be updated at any time. Its field type, however, cannot be changed.

Edit a prompt

You may edit the name and/or prompt description for any extraction field in your project. This can be useful for iterating on existing prompts.

Note

To modify an existing custom extraction field from the Extractions page:

  1. Select the field’s Configure field settings.pngbutton.

  2. Using the extraction field’s Name and Description fields, update the name and/or prompt description, as needed.
  3. Select Save.

Important

When a field's description is updated, any previously generated extracted values for that field on documents are marked beside the field name in the review window as out of date with the most recent description, indicating they should be re-run if you intend for them to reflect the new description.

Copy a prompt

You can make a copy of any extraction field in your project. This can be useful for iterating on prompts or creating variations without affecting the original extraction field.

To create a copy of an extraction field from the Extractions page:

  1. Select the extraction fields Copy field button.

    A new extraction field appears ready to be edited. It has the same field type and description as the original. The original’s name is appended with a number (e.g. “Dates” becomes “Dates (2)”).
  2. Edit the field name and description of the new extraction field as needed.
  3. Select Save.

Hide a prompt

Existing extraction field prompts cannot be deleted. Instead, you, along with other users with necessary permissions (i.e. Generate permissions and batch actions enabled), can hide them. 

To manage the visibility of an extraction field prompt from the Extractions page, toggle the field’s Visible in project switch.

When an extraction field is hidden:

  • The extraction field, along with any extracted values associated with that field,  is not available for selection from the review window
  • The column associated with an extraction field will no longer be visible/available to be added in the results table and any associated extracted values will not be visible in the results table
  • The extraction field is visible and editable (including switching back on its visibility) from both the Extractions page and the result tables batch extraction dialog. In both of these locations, hidden fields can temporarily be shown from the list by unchecking the Visible fields only checkbox.

Show hidden prompts

The number of hidden fields in your project is listed alongside the Visible fields only button. To view hidden extraction field prompts from the Extraction page, uncheck Visible fields only.visible fields only.png
