Slack Data Preservations

Slack data preservations let your organization preserve Slack data in place from within Everlaw. After a one-time connection to your Slack organization, Everlaw Organization Admins and Legal Holds Organization Admins can create data preservations in legal hold matters, choose which conversations to include, select custodians to preserve, and optionally set a date range. 

This article explains the requirements for using Slack data preservations, how to connect your Slack organization, and how to create a Slack data preservation.

Slack data preservations are not available in Everlaw GovCloud. To learn more, read this article about Everlaw GovCloud.

Requirements

  • To connect your Slack organization to Everlaw, you must:
    • Be an Everlaw Organization Admin or Cloud Management Organization Admin
    • Be a Slack Organization Admin, Organization Owner or Primary Organization Owner (for authentication purposes)
    • Be using Slack’s enterprise plan
  • To grant users access to create/manage data preservations from an existing Slack connection, you must:
    • Be an Everlaw Organization Admin or Cloud Management Organization Admin
    • Be a Slack Organization Admin, Organization Owner, or Primary Owner 
  • To create and manage data preservations you must:
    • Be an Everlaw Organization Admin or Legal Holds Organization Admin
    • Be granted access to use the Slack connection

Get started

The first time you want to create a Slack data preservation in Everlaw, you will need to:

  1. Connect to your Slack organization
  2. Grant users access to the connection

After the connection is made and permissions granted, you and any other permitted user can:

  1. Create a matter to house your data preservation
  2. Create a data preservation

Connect to your Slack organization

Required permissions:

  • Everlaw Organization Admin or Cloud Management Organization Admin
  • Slack Organization Admin, Organization Owner or Primary Organization Owner (for authentication purposes) using Slack’s enterprise plan

To connect your Slack organization to Everlaw for data preservations:

  1. Go to Organization home > Cloud Management > Data Preservations.
  2. Open the Slack tab.
  3. Select Add Slack Organization.

    This opens a new browser window prompting you to log into Slack.
  4. Log into your Slack organization.
  5. Allow the Everlaw Slack Legal Holds App access your Slack organization.

Important

You must choose an organization to connect to. Everlaw cannot access workspaces individually. Attempting to do so will cause an error.

Once your Slack organization is connected, it appears in the table on your Data Preservations > Slack page.

Grant users permission to create Slack data preservations

Before an Organization Admin or Legal Hold Organization Admin can create or manage Slack data preservations, they must be granted permission to pull data from the specific Slack data preservation connection.

Required permissions:

  • Everlaw Organization Admin or Cloud Management Organization Admin
  • Slack Organization Admin, Organization Owner, or Primary Owner 

To do this:

  1. Go to Organization home > Cloud Management > Data Preservations.
  2. Open the Slack tab.
  3. Select the Add users to cloud organization button. 

    This opens a new window prompting you to sign into your account.
  4. Sign in. The Grant users Slack access dialog opens in Everlaw.
  5. To add users, enter their name and email into the table, and select Add.
  6. When ready, select Grant access.
    The dialog closes and the users appear in the table. They can now create data preservations from the Slack organization.

Create a Slack data preservation

Before you start: If you haven’t already, create a Legal Hold Matter for your data preservation.

To create a Slack data preservation:

  1. Go to Organization home > Legal Holds.
  2. Select View on the matter you want to create the data preservation in.

    This opens the matter’s page.
  3. Select + New > Data Preservation.

    This opens the New data preservation dialog.
  4. Enter a name for the preservation in the Data preservation name field.
  5. In the Select services field, choose Slack.
  6. In the Select Slack org field, choose the Slack organization you want to use.
  7. Select Continue.
    This opens the Edit preservation wizard, which has four steps: Data Source, Custodians to preserve. Query (optional), and Summary.
  8. On the Data Source step, in the Conversations to include field, choose between:
    • All channels and direct messages
    • Direct messages only
  9. Select Next to continue to the Custodians to preserve step.
  10. Custodians are displayed in a table. Use the checkboxes to select which custodians you want to preserve. Then select Select.

    This adds them to a Select list above the table.

    Note

    There is a limit of up to 1,000 custodians per data preservation. If you want to create a legal hold for more than 1,000 custodians, you must create another data preservation.

  11. When ready, select Next. This triggers a sync with Slack then moves you to the Query step.
  12. [Optional] Choose a date range for the preservation using the From and To fields.
  13. Select Next or Skip.
    This opens the Summary step.
  14. Review the information displayed, then when ready select Submit.

Important

You will not be able to change the data source or query after submitting.

Once the data preservation is created, you are returned to its matter’s page.

View an existing Slack Data Preservation

  1. From the Organization home > Legal holds page, open the legal hold matter containing the data preservation.
  2. Find the data preservation from the Data preservations list. Then select View.

    This opens the data preservation’s page.
