Preview Search Results

Document previews allow you to gain visibility into review work on a document without navigating away from the existing page. Generally, you can find previews throughout Everlaw by selecting the view or preview button. 

This article covers the Search page's search preview.

Requirements

The search page is available to all users on a project. The documents you can search may be limited by your document access permissions. Document access permissions are managed by Project Admins.

Access the search preview

Anytime you create a search, a preview will display at the bottom of the screen. The top of the preview bar shows:

  • The text translation of your search
  • The total number of documents matching your search
  • A button to expand the table to display the full set of results
  • A random sample of up to 10 documents from your full set of results, along with various kinds of information about the documents.

The preview updates instantaneously with any changes made to your search.

Edit preview columns

You can change the columns of information that appear in the instant search preview by selecting the plus/minus (+/-) buttons in the far right of the table.

This opens the Add or remove columns dialog with a list of columns. Add or remove columns from the instant search preview by selecting them.

You can also rearrange or resize columns in your instant search preview, by clicking and dragging the column headers or borders respectively. 

Preview a document

To preview the contents and metadata of a particular document, select it's preview button in the table's far right column.

This opens a preview of the document on the search page, using the Quick Review window, instead of moving you to a results table.

From a document's preview you can:

View and edit redactions and highlights

Select any existing redactions or highlights to further view and/or edit their details. New redactions and highlights cannot be added from the search preview's Quick Review window.

View document metadata

You can also view metadata in the document preview. Metadata is listed at the top of the document preview window.

You can change the metadata panel display in the following ways:

  • Expand the metadata panel: Select the expand button on the left side of the Quick Review window
  • Choose the metadata type to display: Select the Metadata Type dropdown. Then select either or both:
    • Everlaw: Metadata interpreted or parsed from your documents
    • Source: Metadata derived directly from load files or native processing
  • Open the metadata display in its own window: Select the Toggle between docked/floating mode button

When the metadata is expanded or in floating mode, you can take action on it:

  • To pin fields: Select the Pin button
  • To edit any editable metadata: Select the Edit button.

  • To see the existing redactions stamps, add more, or remove them: Select any redacted field with a gray bar over it.

Download the native version of the document

To download the native version of the document, select the bates number in the toolbar at the bottom of the preview. 

If there is no native for the document, no download will be available.

Note

If the document you are attempting to download was flagged as potentially malicious, then you will receive a warning message prior to your download. If you would like to proceed with download, select Continue to proceed.

Share the document

To share the document with other users, select the share   button.

Add and view notes

You may add notes to the document from the preview and view the document's notes if any exist. To add and view notes, select the notes button. If the button has a yellow number, that indicates the number of existing notes. 

Review the document

To open the document in the review window, select Open for Review. This opens the review window and allows you to rate and code the document, as well as add it to binders. You can also view other documents that are contextually related to the document.
