Static Legal Hold Directories

Static directories are legal hold directories that are created in Everlaw by a CSV upload or manual data entry, rather than being imported through integrated employee management software like Workday or Microsoft Entra ID. All updates made to static directories are manual.

This article covers how to create, add custodians to, and manage static legal hold directories.

Requirements

To create or edit a static legal hold directory, you must be an Organization Admin or Legal Hold Organization Admin.

Create a static directory

To create a static directory integration in Everlaw:

  1. Go to Organization home > Legal Holds > Directories.
  2. Select + New Directory > Static directory.

    This opens the New directory dialog.
  3. In the Directory name field, enter a name for the new directory. 
  4. Select Create.
    This closes the dialog and opens the new directory’s page. 

Now what?  It’s time to add custodians to your directory. To start, select Add people. You can add custodians individually or in batch via a CSV.

Add single custodians

To add individual people to a static directory:

  1. Go to Organization home > Legal Holds > Directories
  2. Select View to open the directory you want to add a custodian to.
  3. Select Add people. Then select Add single person.
    This opens the Add person panel.
  4. Enter values for the fields as needed.
    The Email field is required. All email addresses should be unique.

  5. When ready, select Add.

Import a CSV directory

If you want to add multiple people at once, you should add people by CSV. To do this:

  1. Go to  Organization home > Legal Holds > Directories
  2. Select View to open the directory you want to add a custodian to.
  3. Select Add people. Then select Import from CSV.
    This opens the Import people wizard.
  4. Select Download CSV template

  5. Enter your user data into the downloaded template in the provided format.
    Important: The Email field is required for all entries.
  6.  When ready, drag and drop the CSV onto the page, or select browse to upload it. 
    You will automatically be moved to the next step: Map properties.
  7. Everlaw automatically detects the following columns in your CSV:

    • Name
    • Email
    • Other emails
    • Business phone
    • Mobile phone
    • Fax number
    • Preferred language
    • Company name
    • Role
    • Department
    • Office location
    • Manager name
    • Manager email
    • Employee type
    • Employee start date
    • Employee end date

    Note

    Any other columns in your CSV are automatically mapped to and stored in the Notes field. 

  8.  Review the mappings, then select Next.
  9. If your CSV includes a person whose email address already belongs to another person in the database, you’ll be taken to an Duplicate People step. Here, you’ll need to select whether you want to overwrite existing custodians. You can also choose to overwrite values only if the new values aren’t blank.
  10. When ready, select Next.
  11. On the Summary page, review your upload, then select Import.
