Reuse a Workflow

Once a workflow runs well, you can copy it to another project, or include it when you create a new project from a template.

A copied workflow keeps its steps and as much of their configuration as the new project supports. It arrives as a draft, not a live workflow, so you can adjust it for the new matter before you publish. Your search criteria, assignment groups, and batch actions may need changes to fit the new project's documents and reviewers. Review each step before you publish, because publishing starts the workflow on the documents you add to it.

Requirements

To copy a workflow to an existing project, you must be a Project Admin or Workflows Admin in the destination project.

To create a new project with an existing Workflow automatically included, you must meet the requirements for creating a database via a template and have access to the Workflow as a Project Admin or Workflows Admin on the existing project.

Copy a workflow to another project

Individually copying a Workflow to another project is best for projects that are already created and in-flight.

To copy a Workflow to another project:

  1. From the workflow's page, select the three-dot menu, then select Manage > Copy to another project.
  2. Choose the destination project. You must have Workflow Admin access to both projects.
  3. Select Copy Workflow, then Open draft workflow.
  4. Review each step in the destination project and publish.

Note

The copied workflow keeps its steps and as much of their configuration as the new project supports. Some reconfiguration may be needed, so review each step before you publish. For example, if the exact codes referenced in the workflow exist in the destination project Everlaw maintains those references in the copied draft workflow, but if the codes are not an exact match with what is available in the destination project then they aren’t copied over.

Any steps that need to be configured still will be flagged as INCOMPLETE. Assign steps will always be listed as incomplete because users/user groups need to be selected in the destination project.

Create a new project with a workflow

Workflows can also be included in new projects through project templating. This is ideal for new projects, for which a database hasn’t been created yet.

When this method is used, all Workflows are copied over from project to project; not select Workflows.

See Project templating for instructions.
