When you have received a production or other set of processed data to upload into Everlaw, you can upload it yourself or, for more complex uploads, send the files to the Everlaw team to complete the upload for you.
This article describes the process for transferring uploads to Everlaw for our team to complete.
To complete your own processed upload, read this article on uploading document sets with a load file or PDFs without a load file.
Requirements
Required Permissions: To transfer files, you must have Database Upload permissions
File format
To be loaded into Everlaw, uploads should follow the standard format for processed data.
The outermost folder should be compressed (zipped).
After receiving the files, the Everlaw Support team will review the files and reach out with questions about the format of the data.
Internet Connection
The speed of your file transfer to Everlaw is dependent on your internet speed, stability, and the size of your dataset. The following details bullet points more details about your internet connection and file transfers:
- An internet connection speed of 1000 Mbps can transfer a 70 Gb dataset in just under two hours
- File transfers are interrupted if you close out of the tab or if your computer goes to sleep
- If your transfer interrupts before it gets to the Received stage outlined below (and nothing from the above bullet point happened), it is likely because you have an unstable internet connection. You can try plugging into ethernet instead of using Wifi
- Please contact support@everlaw.com if you have followed this advice and are still having trouble with your file transfer
Transfer files to Everlaw
To transfer files to Everlaw:
-
To get to the Uploads page, select Data Transfer
> Uploads.
-
On the Uploads page, select Processed > Have Everlaw team do the upload.
- Select Start upload. This opens the file picker for your upload.
-
Drag and drop the folder containing your processed data set into the uploader, or select Browse and select it from your file selector.
This opens the File transfer details for Everlaw support dialog. -
[Optional, but recommended] In the Message or description entry box, include a message with special instructions, passwords, or other information about your files.
- Select I acknowledge that every image and text file must be named for its Bates number for processed uploads.
-
Select Submit. This initiates the transfer to the Everlaw team and creates a card on the File Transfers page to track its progress.
Important
File Transfers require the page to remain open until the upload is complete. You can navigate to another tab or window, but the tab performing the upload must stay open in the background.
Note
If you are having trouble transferring your data, or are seeing your File Transfers error out before reaching 100%, please make sure that Everlaw domains are whitelisted by your IT team.
Post-transfer status
Once a file transfer has completed, the status of its card indicates the status of the transfer.
The possible statuses are:
-
Uploading: File transfers enter the uploading stage when you are transferring your documents to Everlaw. If you leave the file transfer page before the upload is complete, the file transfer can become stuck at the uploading step.
If your file transfer card displays the status Uploading, this is a good indicator that it was interrupted. - Received: When your files are done transferring, that status on the upload card updates to Received. Do not close the tab or window before the upload is complete, as this will interrupt the transfer.
- Pending: A file transfer enters the pending stage when there are questions or extraneous considerations to be made with the upload. A file transfer will usually only enter this stage if the Everlaw team has questions about how to proceed with the upload, or there are external factors that must be considered prior to processing the upload. Questions from the Everlaw team are sent to the email address associated with the user's Everlaw account.
- Processing: Once the Everlaw team has begun processing your files for upload, the file transfer enters the Processing stage. Once the upload is kicked off, an upload card is created in the In progress tab of the Processed Data Uploads page.
-
Completed: When the Everlaw team has successfully completed the upload, the file transfer card displays Completed. Once the upload is completed, the upload card moves to the Completed tab of the Processed Data Uploads page.
Additionally, the user who sent the file transfer receives a message when the upload is completed. - Not to be completed: File transfers that are cancelled will enter the Not to be completed stage.
